Job Description-Administrative Specialist
Reports to:
Administrator, Director of Nursing, and Office Manager
Position Summary:
The Administrative Assistant is responsible for maintaining an efficient office environment.The Administrative Assistant is responsible for all duties described herein.
Qualifications:
·Minimum one (1) year in an office environment.
·Experience and knowledge in computers.
·Experience and knowledge of multi-line phone systems.
Essential duties and responsibilities include the following:
Other duties may be assigned.
1.Typing of dictated and written documentation.
2.Organizing and maintaining patient electronic charts.
3.Scanning and uploading all patient records.
4.Printing patient priority list weekly.
5.Checking Bio Waste box weekly and scheduling pick up if needed.
6.Troubleshooting software issues as needed..
7.Printing and mailing D/C Summaries to referring physicians.
8.General errands.
9.Copying/faxing/distributing of all paperwork as directed.
10.Maintaining sufficient quantities of SOC packets and other paperwork.
11.Answering telephones, transferring call to appropriate personnel, and taking and delivering messages in a timely manner.
12.Checking in signature sheets and reviewing with DARs
13.Keying in paper notes into computer system.
14.Reviewing submitted paperwork for accuracy and completeness.
15.Syncing MobileWyse Databases in office daily.
16.Maintaining confidentiality.
17.Ordering essential office and medical supplies and keeps sufficient quantities in stock.
18.Keys in medical supply sheets for billing.
19.Distributing Paychecks.
20.Miscellaneous tasks as they arise.
